GL Accounts

GL Accounts contain the Name (and Number) of General Ledger Accounts used for Journal Entries when posting transaction activity.

You build this list of Account Names, Numbers, and Type, according to your current General Ledger. See also the Company Preferences Accounting Tab, where you can use these GL Accounts to define the defaults to use for various transactions.

If you are using QuickBooks Integration, the list of General Ledger Accounts will be created during the Initial Import process. You can add new entries here.

Note: In order for the Company GL Account Number to be used for export during QuickBooks Synchronization, it must be linked here in GL Accounts to a valid QuickBooks account. (See QB Account Name field below.)

Setting up a GL Account:

On the Work Menu at the top of the screen, click the Accounting down-arrow, and select GL Accounts.
The smaller-size Lookup screen will appear. (To add or change a record, see Small Lookup, Add or Edit.)
Next, the GL Account Details screen will appear. This screen has a second Tab for Notes.

Screen fields:

Account Number:

Optional. The GL Account Number used by your Company for Journal Entries.

Account Name:

Required. The descriptive name for this GL Account. (If you imported from QuickBooks the initial Names will come from the Import process.)

Account Type:

Required. Select a predefined choice from the Simple Lookup Box.

QB Account Name:

If you use QuickBooks, this field will contain the General Ledger Account Name brought over by the QuickBooks Import Process and it will match the Account Name above. If you change the Account Name used in FieldOne, then you should store the original QuickBooks GL Account Name used for bridging during Export. (See Understand QuickBooks Naming Exceptions.)

Is Active:

Use the checkbox to indicate currently used by your Company. If you later remove the check-mark making this field Inactive, this entry will still show on older records where it has already been used, but will not be available for use in the future.

The default for the Lookup screen is to show Only Active records. You can remove the check-mark from the select-box on that screen and view all.

When complete:

Click OK to save your entries and exit the screen.
