Work Order Types

Work Order Types provide a useful grouping of Work Orders. Work Orders in general fall into two major categories, Service Calls and Estimate/Projects. Beyond this every Work Order has a Work Order Type entered on the Work Order, General Tab. These are selected depending on whether the Work Order Type belongs to a Service Call or a Project.

The Work Order Type entry is required on every Work Order, because it controls the following:

Pricing controls - you can use the Work Order Type to control both Labor Rates and Parts Markup, depending on how you use other entries and overrides.

For example:

For most of your jobs you might use the default Work Order Type pricing, which will streamline work for your dispatch and other personnel, since they will not have to be concerned about pricing.
On a given Work Order you may specify a certain Work Order Type, but override the pricing attached to it by filling in the fields on the Work Order, General Tab for Parts Markup or Labor Rate.
Reporting results - you can review and analyze Work Order history.

For example:

You might want to see a report showing profit margins by Work Order Type.
Or perhaps you want to see which types of work your Employees are spending more time to resolve.
Or you want to review which types of work are more profitable for Parts versus Labor.

Setting up a Work Order Type:

On the Work Menu at the top of the screen, click the Work Order down-arrow, and select Work Order Types.
The smaller-size Lookup screen will appear. (To add or change a record, see Small Lookup, Add or Edit.)
Next, the Work Order Type Details screen will appear. This screen has a second Tab for Notes.

Screen fields:

Type Name:

Required. The descriptive name for this type of Work Order, according to the groupings suitable for your Company.

Labor Rate:

A Labor Rate that supplies the default on Work Orders of this Work Order Type.

Parts Markup:

A Parts Markup that supplies the default on Work Orders of this Work Order Type.

Work Type:

Required. Predefined Simple Lookup Box - select whether this type of Work Order pertains to a Service Call or a Project.

Parts Overhead %:

A Cost Overhead percentage for Parts that will default for this Work Order Type onto the Work Order (where you can override it). For a description of Parts Overhead, see the Work Order Cost Tab.

Labor Overhead %:

A Cost Overhead percentage for Labor that will default for this Work Order Type onto the Work Order (where you can override it). For a description on Labor Overhead, see the Work Order Cost Tab.

Problem Code Required:

Checkbox for Service Calls only. Controls whether a Problem Code will be required for a Work Order that uses this Work Order Type.

Taxable:

Controls if this type of Work Order is taxable.

Is Active:

Use the checkbox to indicate currently used by your Company. If you later remove the check-mark making this field Inactive, this entry will still show on older records where it has already been used, but will not be available for use in the future.

The default for the Lookup screen is to show Only Active records. You can remove the check-mark from the select-box on that screen and view all.

When complete:

Click OK to save your entries and exit the screen.
